Privacy Policy -- Newsletters



At IndiceCPA, we understand the importance of keeping your financial information confidential, and we are committed to protecting your personal data. This privacy policy explains how we collect, use, share, and protect your information when you use our cloud accounting services in Quebec.

  • This person handles requests for access, correction, and deletion.

3. Personal information collected

  • Subscribers: email, first name, last name, status, link to profile
  • Company profiles (table `profiles`): company name, NAICS code, number of employees, territory, language, newsletter preferences
  • Technical data: generated WordPress identifiers, send logs, and any interactions (opens / clicks if tracked)
Source of the data: registration form, manual entry following a phone call, the subscriber’s company website

4. Purposes of collection

  • Creating and sending personalized newsletters (calls for tenders, grants, methods)
  • Personalizing content based on the company’s sector (NAICS), size, and territory
  • Managing subscriptions and unsubscriptions
  • Generating AI content and images to personalize the newsletter
  • Creating a non-indexed page containing the lists of calls for tenders and grants. The address of this page is communicated to the subscriber only by email.
 

5. Legal basis and consent

  • Consent to receive the newsletter is freely given, informed, clear, and specific
  • The mechanism to withdraw consent / unsubscribe is included in every newsletter through a link.
  • CASL notice: we request explicit consent before adding anyone to the list, except for IndiceCPA’s active accounting clients.

  • Data is not sold or disclosed to third parties other than the providers listed above.
  • These third parties act as mandataries and are bound by confidentiality obligations.

7. Transfer of data outside Quebec

  • Some data is processed outside Quebec
  • A privacy impact assessment (PIA) was carried out before these transfers (an obligation under Law 25).
  • Contractual measures ensure an adequate level of protection.

8. Retention period and destruction

  • Data is retained as long as the subscription is active + 3 months)
  • 3 months after the subscription is deleted…
    1. All database records relating to the former subscriber are destroyed.
    2. The WordPress page on the indicecpa.com site containing the list of grants and calls for tenders relevant to the subscriber is deleted.

9. Security measures

  • Only the person or people responsible for producing the newsletters at IndiceCPA have access to the tools and data
  • All data access keys are stored in a Supabase database. No key is written directly into the programs.

10. Rights of the individuals concerned

  • Right to access one’s information
  • Right to correction
  • Right to erasure / de-indexing
  • Right to withdraw consent
  • Right to portability
  • Response time: 30 days

11. Cookies and tracking technologies

  • We do not use cookies on our site.

12. Privacy incidents

  • IndiceCPA keeps a register of incidents.
  • We undertake to notify the Commission d’accès à l’information du Québec, subscribers, and the individuals concerned in the event of a risk of serious harm.

13. Complaints and recourse

  • If there is a problem, you can file a complaint with the person in charge of the protection of personal information (Privacy Officer) or with the Commission d’accès à l’information du Québec (CAI).

14. Changes to the policy

  • This policy may be updated without notice.
  • If this policy is updated, a note to that effect will be included in your newsletter.
